Birthday catering in Spain is usually booked for a party at home, in a garden or in a room hired for the afternoon. The caterer brings the food, the plates and the glasses, sets everything up and clears away afterwards; you worry about the guest list and the cake. It is not the same as a wedding banquet: most caterers have specific formats for birthdays because the mix of adults and children changes the menu and the quantities.

What birthday catering includes

Almost every company works in modules and lets you add or remove parts. The usual package is:

  • The food, in whatever format you choose: cold finger food, a buffet, a barbecue, rice cooked on site or a plated menu.
  • The drinks, with ice and soft drinks; alcohol is often quoted separately or supplied by you.
  • The tableware: plates, cutlery, glasses, linen and napkins. If it is not included, hiring it separately adds up.
  • Setting up and clearing away, which is what really makes the difference in a private home.
  • Staff, if you want them: waiters to serve and clear.
  • The cake or dessert table, which many companies make or order for you.

If children are coming, say so when you ask for the quote: most caterers prepare a separate menu for them and adjust the quantities for the adults.

Formats for adults, children and mixed parties

Birthday catering is not a single menu. For an adults-only party, most people choose a cocktail with canapés, a buffet, or a barbecue if there is outdoor space. A buffet works well because guests arrive at different times and can eat when they want.

For a children's birthday, caterers usually suggest finger food, mini burgers, pasta, croquettes and a sweet table. The cake is often the centre of the party, so many companies include it or work with a local bakery.

For mixed parties, the safest option is a cold buffet or a rice dish cooked on site: children can take small portions and adults can eat standing up. You can also choose between catering at home and a hired venue. At home, the caterer brings everything and clears away. In a hired room, check whether there is a kitchen, running water and enough tables; if there is no kitchen, the caterer needs to bring food ready to serve.

How much birthday catering costs

There is no single birthday price, only a price per format. These are the per-person ranges for the Spanish market in 2026.

In totals: a party of 20 people costs €500 – €1,000 as a cocktail and €900 – €1,600 with a plated menu. For 100 people, the same formats work out at €2,500 – €5,000 for a cocktail, €3,000 – €6,000 for a buffet and €4,500 – €8,000 for a plated menu.

Watch the minimum order: it is usually €300 – €600, and below fifteen or twenty guests it is what really decides the bill. Quotes in Spain are normally given without VAT; catering is taxed at 10% and hired equipment at 21%.

How to ask for a quote without surprises

Four to eight weeks ahead is enough for an ordinary birthday; for peak weekends, the sooner the better. When you ask, give these details and ask for them to be confirmed in writing:

  • Date, start time and how long you want the service to last.
  • Number of adults and children, and any allergies or special diets.
  • The exact address, and whether there is a lift, stairs or somewhere to park the van.
  • Whether you need waiting staff. A plated menu needs one waiter per 10-12 guests; a cocktail, one per 20-25.
  • Whether tableware, drinks, setup and clearing are inside the price or charged separately.

Questions to ask before you book

Most problems on the day come from things nobody asked in advance. Before signing, ask the caterer:

  • Is the price per person before or after VAT?
  • What is the minimum order and what happens if fewer guests turn up?
  • Do you bring the cake and the sweet table, or should I order it separately?
  • Can you adapt the menu for allergies?
  • If the party is in a hired venue, is there a kitchen, running water and enough power for hot food?
  • What time will you arrive to set up, and what time will you clear away?

A good caterer will answer all of these in the quote. If they do not, keep looking.
